Privacy Policy

This policy explains what personal data OpenThrone collects, why we use it, who receives it, how long we keep it, and the choices and rights you have.

Last updated 10/31/2026

Who we are

OpenThrone (openthrone.dev) is operated by AIOXperts IT Solutions LLC, a Delaware limited liability company in the United States. We decide how your data is used (we are the data controller).

For any privacy question or request, email [email protected].

What we collect

Account details: your email address, display name, password (stored only as a one-way hash), and, if you turn on two-factor sign-in, your authenticator secret (stored encrypted).

Game and profile data: your kingdom, race and class, settings, optional bio and avatar image, battles, bank and recruiting history, alliance activity, and reports you file.

Messages: private messages and chat messages you send.

Technical data: your IP address and browser details when you use the site. We use them for security, abuse and cheat prevention, and rate limiting. Sign-in records keep only one-way fingerprints of your IP address and browser, not the values themselves.

Payments, if you support OpenThrone: Stripe handles checkout, and your full card number and security code never reach us. We keep Stripe's reference IDs, amounts, currency and tax, your billing country and state, payment status and dates, the terms you agreed to at checkout, and which kingdom or alliance a payment was for.

Discord, if you link it: your Discord user ID and username, your alert settings, and the alert messages we queue for you.

Email: which emails we send you and your email preferences.

How and why we use it

To run your account and the game, including showing your kingdom to other players and delivering messages. This is needed to provide the service you signed up for.

To keep the game fair and safe: detecting cheating and multiple accounts, preventing abuse, moderating chat and reports, and securing accounts. We do this because we have a legitimate interest in a fair, secure game.

To send email: account and security emails (needed for the service); news and announcements (you can unsubscribe at any time); and battle alerts, only if you turn them on.

To process payments and keep the records that tax and accounting law requires.

We do not sell your personal data or share it for cross-context behavioral (targeted) advertising, and we do not build advertising profiles. We do not use third-party analytics or tracking scripts.

Cookies and local storage

We use one essential cookie to keep you signed in, plus short-lived cookies that protect sign-in. We do not use analytics or advertising cookies.

Your browser's local storage keeps display preferences, such as your color scheme and battle simulator settings. It stays on your device.

Cloudflare's security check (Turnstile), shown on sign-up, sign-in and some forms, may set its own cookies to tell people from bots. Our fonts are served from our own site.

Who receives your data

Other players see what the game shows publicly: your display name, profile, kingdom details, rankings, alliance, and battle reports you or others share.

Our moderators and administrators can see account and game data, and can read messages and chat when needed for moderation. Their access is logged.

Service providers who process data for us: Cloudflare (network protection, the Turnstile security check, and image storage), Supabase (database hosting in the United States), Stripe (payments, if you support us), and Discord (alerts and bot replies, only if you link your account). We send email from our own mail server.

We may disclose data when the law requires it, or to protect players, the game, or our rights.

Where your data is stored

We and our service providers are based in, or store data in, the United States. If you play from another country, your data is transferred to the United States because that is needed to provide the game you signed up for. For transfers to our providers, we rely where applicable on the EU-U.S. Data Privacy Framework (and its UK and Swiss extensions) or on standard contractual clauses.

How long we keep it

Account and game data: while your account exists.

Battle, bank and recruiting logs: 20 days.

Sign-in fingerprints: 30 days.

IP addresses in our administration audit log: 90 days. The record of the action itself is kept for security.

Discord alert messages: 14 days after they are sent.

Payment records: as long as tax and accounting law requires, including after an account is deleted (they then appear under the random name).

Moderation records (reports, notes, sanctions): as long as needed to enforce the rules and handle appeals. If an account is deleted while a ban or suspension is running, its abuse signals and staff notes are kept until that sanction ends and then erased, together with the text of its appeals and of closed reports it filed. These stay under the random name: the sanction history and its reasons, reports other players filed about the account, and the decisions on its appeals.

Finished account-deletion requests: 365 days, as proof the request was handled (they hold no free text).

Data-download log (date and size only, no content): 90 days.

Anti-abuse fingerprints after an account is deleted: a one-way fingerprint of the email address for 30 days (or until a ban ends), and of the display name permanently, so bans cannot be dodged and names cannot be reused.

Accounts erased for inactivity: a one-way fingerprint of the email address for two years (so a returning player can be recognised and honoured), and the display name stays reserved.

Our servers also keep technical logs, which can include IP addresses, for a limited period for security and troubleshooting.

Inactive accounts: if you have not signed in for 12 months, we may email you and delete the account 6 months later unless you sign in.

Deleting your account

You can ask to delete your account from Settings. You re-enter your password (and authenticator code if you use one), and we email a confirmation link to the address on the account. Once you open it and press Confirm on the page it leads to, the account is deactivated, and 14 days later we erase your email address, password, authenticator secret, bio, avatar files, Discord link, sign-in history, IP addresses held in your audit-log entries and recruiting records, friends and chat activity, replace your display name with a random name, and erase the text of private and chat messages you wrote. If you sign in during those 14 days you can cancel the deletion. The same process applies to every player, wherever you live.

We keep: game history under the random name, so other players' battle records stay intact; alliance records under the random name (the text you wrote in them, such as bank notes and loan or gold-request reasons, is erased, but notes other members wrote about you and announcements you wrote stay); payment records required by law; and moderation records.

To stop people dodging bans or reusing names, we keep a one-way fingerprint of your email address for 30 days (or until a ban ends) and of your display name permanently. These fingerprints cannot be turned back into the original values.

If you stop playing, we may email you a final warning and erase the account for inactivity after the stated deadline (see How long we keep it). When an account is erased this way we keep a one-way fingerprint of your email address for two years, so that if you come back and register again with the same address we can recognise you and, once you open the confirmation link we send to that address, give you the Era 1 Tester title and restore your original join date. The fingerprint cannot be turned back into your address and expires on its own.

Your rights

You can ask to access, correct, delete or receive a portable copy of your personal data, and you can object to or ask us to restrict how we use it. Where we rely on your consent, such as battle alert emails, you can withdraw it at any time; this does not affect what we did before. Settings has a 'Download my data' button for a copy of your account and game data; it asks for your password and allows one download every 24 hours; email [email protected] for a complete copy or any other request.

We answer within 30 days and may need to confirm the request comes from the account owner. We will not treat you differently for using these rights. If we decline a request, you can appeal by replying to our answer or by emailing [email protected] with 'Privacy appeal' in the subject; we answer appeals within 45 days.

If you are in the EEA, the UK or Switzerland, you can also complain to your data protection authority. Residents of US states with privacy laws have the rights those laws give them, including to know, correct, delete and appeal, and we honor them through the same process.

Age requirement

OpenThrone is for people aged 16 and older. We do not knowingly collect data from anyone younger. If you believe someone under 16 has an account, email [email protected] and we will delete it.

Security

We protect data with encrypted connections (HTTPS), hashed passwords, encrypted authenticator secrets, access controls for staff, and audit logs of staff actions. No system is perfectly secure; if a breach affects your data, we will tell you as the law requires.

Changes to this policy

We update this policy when what we do changes. The date at the top shows the latest version. For important changes, we will announce them in the game or by email before they take effect.
